Overview
For a small business the hardest part of lead generation is not usually generating the lead. It is responding fast enough. Buyers who do not get an answer move to the next result, often within minutes, and the marketing spend that produced that enquiry is simply wasted.
What these systems actually do well
Answering the routine questions that make up most enquiries: what you charge, whether you cover an area, what your hours are, how soon you could start. Capturing contact details before somebody leaves. Qualifying whether an enquiry is a fit. Booking a call or appointment straight into a calendar. Doing all of that at two in the morning and on a public holiday.
What they do not do well
Complex negotiation, unusual situations, and anything requiring real judgment about a customer relationship. They should hand those to a person cleanly rather than improvising, and a well configured agent knows where its limits are. Any vendor telling you their system handles everything has not deployed many of them.
Configured for your business specifically
The difference between an agent that helps and one that annoys is almost entirely in the setup: what it knows about your services, pricing and coverage, what tone it uses, what it must never say, and when it escalates to a human. A generic bot answering with generic answers is worse than no bot at all, because it actively signals that you do not pay attention.
Say it is an assistant
We configure agents to be upfront about what they are. Pretending to be a human erodes trust the moment somebody works it out, and they usually do. Being clear about it costs nothing and avoids the problem entirely.
It should feed your pipeline
An agent that answers questions but does not record who asked is a missed opportunity. Conversations, contact details and qualification notes should land somewhere you can follow up from, and the whole thing should be measured on enquiries captured rather than on chats handled.

Will customers hate it?
They hate bad ones. A poorly configured agent that cannot answer basic questions and will not connect you to a person is genuinely worse than a voicemail. A good one that answers immediately, knows the business, and hands over cleanly tends to be preferred to waiting until Monday.
Does this replace our receptionist?
Usually it covers the hours nobody is there, and takes the repetitive questions during the hours somebody is. Most of our clients use it to stop losing after hours enquiries rather than to reduce staff.
What if it gets something wrong?
It will, occasionally, which is why scope matters. We constrain agents to what they can answer reliably and have them escalate everything else. Conversations are reviewable so mistakes can be corrected in the configuration.
